Responsibilities, Terms & Conditions

General

Agency Role:
Bow Valley Golf Concierge acts solely as an intermediary for accommodations, transportation, and golf services. We assume no liability for injury, loss, damage, delays, or irregularities beyond our control, including but not limited to acts of nature, strikes, mechanical failures, or third-party service issues.

Independent Suppliers:
All services are delivered by independent contractors. Bow Valley Golf Concierge is not responsible for acts, omissions, or service failures by these contractors.

National Park Pass:
All guests are responsible for obtaining a valid Parks Canada pass for the duration of their stay. Passes can be purchased online or at Banff Visitor Centre.


Golf Policies

  • Arrival: Golfers must check in no later than 30 minutes before scheduled tee times.

  • Dress Code: Golf attire is mandatory. Collared shirts, tailored shorts or pants required. Denim, gym shorts, tank tops, and metal-spiked shoes are prohibited.

  • Golf Carts: Drivers must hold a valid driver’s license. Two persons per cart maximum. Any damage to carts will be charged to the organizer’s credit card on file. You may be asked to sign a separate cart release on the day of play.

  • Weather Policy:

    • Golf rounds proceed unless courses officially close.

    • Rain alone does not constitute cancellation.

    • If play is cancelled by the course, rescheduling will be pursued, subject to availability.

    • No refunds are issued once play has commenced.

  • Missed Tee Times: Bow Valley Golf Concierge is not responsible for missed tee times resulting from travel delays, acts of nature, or other circumstances outside of our control.

Accommodation, Transportation, and Beverage Policies

  • Outside Alcohol: Strictly prohibited at courses and licensed venues. Unauthorized alcohol may be confiscated. Violations may result in removal without refund.

  • Hotel Check-In: Valid government-issued ID and/or credit card may be required. Damage deposits or incidental holds may apply to individuals.

  • Transportation: Excessive cleaning, damages, additional stops, or unscheduled services may incur extra charges to the credit card on file.

  • Smoking: Not permitted in any vehicle or accommodation.

Damage & Indemnification

The primary contact assumes full responsibility for all damages, losses and expenses caused by any or all group participants during the course of the event and agrees to indemnify Bow Valley Golf Concierge from any liability or claims arising.

Liability Waiver

By booking services through Bow Valley Golf Concierge, the organizer voluntarily releases and discharges Bow Valley Golf Concierge from any and all liabilities, claims, or causes of action arising from participation in activities organized or arranged through Bow Valley Golf Concierge. Bow Valley Golf Concierge reserves the right to monitor and oversee all private events at its partner venues to ensure compliance with terms and policies.

Insurance

Passengers are strongly advised to protect themselves with insurance.
